Refund Policy

At Melbourne Car Rental, we strive to provide exceptional service and value to our customers. We understand that plans can change, which is why we have developed a fair and transparent refund policy. This policy outlines the conditions under which refunds are issued and the procedures for requesting a refund.

1. Refund Policy for Reservations

1.1 Cancellation Time Frames

Our refund policy for cancellations is based on the notice period provided:

  • 7+ days before pickup: Full refund minus a $25 administrative fee
  • 3-6 days before pickup: 75% refund of the total rental cost
  • 1-2 days before pickup: 50% refund of the total rental cost
  • Less than 24 hours before pickup: 25% refund of the total rental cost
  • No-show: No refund

1.2 Prepaid Reservations

For prepaid reservations, which typically offer discounted rates:

  • Cancellations made 14+ days before pickup: Full refund minus a $50 administrative fee
  • Cancellations made 7-13 days before pickup: 70% refund of the total rental cost
  • Cancellations made less than 7 days before pickup: No refund

2. Conditions for Refunds

Refunds may be issued under the following conditions:

  • Booking Cancellation: As per the cancellation policy detailed above
  • Vehicle Unavailability: Full refund if we cannot provide the reserved vehicle or a suitable alternative
  • Early Return: Partial refund may be available for unused rental days (minimum of 24 hours) at our discretion
  • Service Issues: Refunds may be issued in cases of serious service issues or vehicle malfunctions
  • Overcharges: Full refund of any demonstrated overcharges

3. Refund Processing Timeframes

We process refunds according to the following timeline:

  • Refund requests are typically processed within 3 business days of approval
  • Credit card refunds generally appear on your statement within 5-10 business days, depending on your card issuer
  • Bank transfers may take 3-5 business days to process

Please note that during peak seasons or holidays, processing times may be longer.

4. How to Request a Refund

To request a refund, please follow these steps:

  2. Provide your booking reference number, the name used for the reservation, and the reason for requesting a refund
  3. Include any supporting documentation that may be relevant to your refund request
  4. Specify your preferred refund method (original payment method is standard)

Our customer service team will review your request and respond within 48 hours.

5. Exceptions to the Refund Policy

The following situations are generally not eligible for refunds:

  • Early returns due to customer convenience without 24 hours notice
  • Rental time unused due to late pickup
  • Cancellations or early returns due to weather conditions (unless extreme circumstances)
  • Refunds on additional services or products already used (GPS, child seats, etc.)
  • Cancellations due to failure to meet our rental requirements (age, license, credit card, etc.)

6. Special Circumstances

6.1 Force Majeure

In cases of force majeure (natural disasters, severe weather events, governmental actions, etc.), we may offer more flexible refund options at our discretion.

6.2 Medical Emergencies

In cases of serious medical emergencies, we may offer full or partial refunds outside our standard policy. Documentation from a medical professional may be required.

6.3 Corporate Accounts

Corporate accounts may have custom refund policies as specified in their service agreements.

7. Payment Method for Refunds

Refunds are processed to the original payment method used for the reservation:

  • Credit or debit card payments will be refunded to the same card
  • Alternative refund methods may be arranged in exceptional circumstances
  • Refunds cannot be issued in cash unless the original payment was made in cash
